Privacy Policy

This Privacy Policy explains how Wilmington Reformed Church (an Orthodox Presbyterian Church congregation located at 550 Virginia Cir, Wilmington, OH 45177) collects, uses, and protects the information you provide through the WRC Community platform (the "Service").

What We Collect

When you create an account or use the Service, we collect:

• Name and email address — required, used for sign-in and communication
• Phone number — optional, used only if you choose to sign in by SMS or enable SMS notifications for a group
• Posts, comments, and reactions you publish within the Service
• Notification preferences per group (email, SMS, push, in-app)
• Giving records if you donate, including amount, fund, and method
• Device/browser information for security (IP address, user agent) and push-notification routing

How We Use It

Information is used solely to operate the Service for church community purposes:

• Authenticate you and keep you signed in
• Deliver notifications you've opted in to
• Display posts and comments to the audience you chose (specific group or church-wide)
• Process and record donations, and issue annual giving statements
• Detect and prevent abuse, fraud, and security incidents

We do not use your data for advertising. We do not build profiles of you for resale. We do not sell, rent, or share your personal information with third parties for marketing purposes.

Text Messages (SMS) and Phone Numbers

SMS is always optional — you can use every feature of the Service by email without providing a phone number. If you do provide one and opt in to SMS, here's how we handle it:

• Purposes: Phone numbers are used to deliver 6-digit sign-in codes (when you choose SMS login) and group notification text messages (when you check "SMS" for a group in Notification Preferences). Nothing else.
• Storage: Your phone number is stored in our database, encrypted in transit, and accessible only to Wilmington Reformed Church staff with administrative access. Sign-in codes themselves are stored as one-way hashes, never in plain text.
• Transmission to third parties: To deliver text messages, your phone number and the message content are transmitted to our SMS provider Twilio, Inc., acting as our data processor under contract. Twilio's own privacy practices are available at twilio.com/legal/privacy.
• No sharing or sale: We do not share, sell, rent, or otherwise transfer phone numbers to any third party for marketing or any purpose other than the delivery described above.
• Opt out any time: Reply STOP to any message from us, or uncheck the SMS box on the Notification Preferences page. We will stop sending SMS immediately. You may also remove your phone number from your account entirely.
• Rates: Message and data rates may apply depending on your mobile plan. Wilmington Reformed Church does not charge for SMS.

Email

Email addresses are used for sign-in magic links, group notifications you opted in to, daily digest summaries if enabled, giving receipts and annual statements, and important Service announcements. Email is delivered via SendGrid (Twilio Inc.) under contract. Email addresses are never shared or sold.

Giving Data

Payment card numbers and bank account numbers are handled by Stripe, Inc. and never touch our servers. We retain a record of donations (amount, fund, date, method) for giving-statement and accounting purposes. Giving records are visible only to authorized church treasury staff and to the donor themselves.

Pastoral and Sensitive Content

The Service is sometimes used for prayer requests and pastoral communication. Content posted in private groups is visible only to members of that group. Church leadership treats sensitive content with pastoral discretion and does not disclose it outside the church except as required by law or to protect someone from harm.

Security

The Service uses HTTPS for all traffic, hashes authentication secrets, enforces rate limits on sign-in attempts, and restricts administrative access to authorized church staff. No system is perfectly secure — if we become aware of a breach that affects you, we will notify affected users promptly.

Your Rights

• Access and update your profile information at any time from your account settings
• Remove your phone number to stop all SMS
• Request a copy of your data or deletion of your account by emailing the contact below

Children

The Service is not directed to children under 13 and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us information, contact us and we will delete the data.

Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated in-app or via email. The "Effective" date at the top reflects the most recent update.
